How to Manage Wellhub (Gympass) Client Check-ins

Trainingym integrates with Wellhub (formerly Gympass), simplifying the registration and check-in of these users through our technology.

What is Wellhub (Gympass)?

Gympass is now Wellhub. It's a corporate wellness program available to employees of partner companies.

With a monthly subscription, you can access various gyms, studios, and up to a thousand partners without contracts or additional costs.

All plans, except for the Digital plan, offer 1 daily check-in under the Standard access category. This allows access to associated gyms and studios, either in-person or through live virtual classes.

A plan subscription also includes associated apps, which offer activities in nutrition, financial education, and overall wellness.

Our vision is to make access to physical activity easier for everyone, and working with partners like Wellhub brings us one step closer to that goal. We want more people to enjoy the benefits of an active and healthy lifestyle, and this integration allows us to reach a broader audience.

With this functionality, you can control your clients' access to your business through check-ins. Additionally, you'll be able to perform specific actions, such as marketing strategies, by having your clients profiled and available on the Trainingym Manager's potential client list. This allows you to manage your loyalty and promotion campaigns more effectively, providing a personalized experience to each of your clients.

Step-by-Step Procedure: Activation and Setup of WellHub (Gympass)

Module Activation Process

To activate the Trainingym integration module in Wellhub, you can choose from two options.

  • The first is to activate it directly from your client panel in Wellhub. Doing so will automatically send a notification to Trainingym and generate a request ticket in Hubspot.
  • The second option is to contact us and provide your Wellhub ID.

Configuration Process in Trainingym Manager

Once activated, we proceed to configure and activate the module in the employee permissions section. To do this, in Trainingym Manager, go to the My Center > Permissions menu. Select the permission you want to edit and activate the following options:

  • Check-in partners. Allows access to the list of check-ins from aggregators like Wellhub®️ or TotalPass®️.
    • Configuration partners. Allows configuring the integration of aggregator partners.

Here we can grant permissions to view and configure partner check-ins, as well as define what access partners will have when checking in.

Once the relevant permissions are enabled, from the Partners > Check-in partners menu, you can view all the check-ins performed by clients "Gympass, their status, and even "confirm" manually the access of any client.

 

By default, check-ins performed in the last 30 days will be filtered.

Click on the "Filter" button to extend the date range of the query and filter further by:

  • Check-in status (Pending, confirmed, expired, or canceled).
  • By the client's originating partner. Currently, we only have "Wellhub" enabled as a source.

📌 Attention

Firstly, from the Configuration > Wellhub button, determine if "Gympass" clients will:

  • Access the app and additionally will be able to make activity reservations.
  • Validate their access to activities in your business through Trainingym access devices, like Access Control Tablets (Trainingym Booking) or FaceID.

 

 


When a client checks in through WellHub, a QR code is generated that they can use to confirm their access to your business as long as you have a QR-based Trainingym access control system.

 

📌 Attention

The access QR generated lasts for 30 minutes.

 

Otherwise, from the Partners > Check-in partners menu, you can manually confirm the client's access to your business.

 

By default, the check-in is generated in "Pending" status. From here, the following situations may occur:

  • If the client confirms their access within 30 minutes, the check-in will move to "Confirmed" status.
  • If 30 minutes pass and the client's access is not confirmed, it will move to "Expired" status.
  • There is also an option for the client to cancel the generated check-in. In this case, the check-in will move to "Canceled" status. 

📌 Attention

If a client decides to cancel their check-in on Wellhub, in Trainingym Manager it will show as pending. When trying to validate their access, you will receive an informative message indicating that the check-in request was canceled by the client, and it will automatically change to canceled status.

 


It's important to note that when requesting a check-in, a potential member is created with details such as name, surname, email, date of birth, among others. This allows you to have a detailed record of your potential members in Trainingym Manager that will be subject to the permissions previously configured. A profile associated with WellHub will also be generated for this potential member.

Additionally, each potential member will have a source identified as WellHub, which allows us to have detailed control of their origin.

 

In the event that a potential member is unsubscribed or deleted, their record will be maintained until their check-in is confirmed, at which point it will revert to its previous state.

Following these detailed steps, you can effectively activate and configure the WellHub module in the system, facilitating the check-in process for members through this platform.
