Initial Configuration of the My Center Panel in Trainingym Manager

Edit and set the fundamental parameters related to the initial configuration of your Fitness Business

Welcome to Trainingym 🥳! Now it’s time to configure everything necessary to start enjoying your Trainingym experience 🚀.

In this article, we show you the steps to follow to complete all the key and necessary data for the fundamental management of your fitness business. Specifically, we will cover the following:

🎯 Configure your business contact details and information.

🎯 Prepare the platform so you can later manage activities [both in-person and streaming].

🎯 Set how your clients will view their welcome to your fitness business as well as the various panels in your app and Trainingym Touch kiosks.

🎯 Define how the active follow-up of your clients will be; whether live and/or via automatic notifications.

🎯 Establish basic rules to positively enhance the productivity of your fitness business staff.

AVAILABLE CONFIGURATION OPTIONS - MY CENTER

First, we access Trainingym Manager with our credentials [username and password]. We access the My Center > Data menu where we can find the following tabs:

  • Business Data
  • Schedule
  • Kiosks
  • App
  • Configuration
  • Share

🛠️ If the Data menu [present in Trainingym Manager > My Center > Data] is absent, you must request your administrator to enable the corresponding Data permission [selector] [located in Trainingym Manager > My Center > Permissions (menu) > Select the type of permission > My Center (section) > Data].

Next, we will go over the options of each of the mentioned tabs with their corresponding configuration parameters 📑

CENTER DATA

In this tab, we can configure and/or set the basic data of your fitness business such as:

  • Center Description
  • Center Image Data / Logo / Corporate Color
  • Contact Information / Website / Social Media
  • Request Approval of / Legal Text / Data Protection
  • Commercial Registry Information
  • Start Times of Directed Classes

Sections of the Center Data tab:

  • Center: Name with which your fitness business is displayed in Trainingym Manager.
  • Kiosk Name / SMS: Name that appears both in your client's web profile and on the touch screen of your Trainingym Touch kiosks and in messages sent via SMS.

  • Address, phone, email, website, and respective Facebook and Instagram websites: Contact details for your fitness business clients to reach you.

💡 The contact details and information [phone, email, website, and URLs of Facebook and Instagram] are visible in the app of your business in the My Center > Contact section.

⚠️ [To display correctly] we must always present web addresses [Instagram, Facebook, corporate website] with their complete address [adding the prefix https://www. or http://www.].

  • Logo: Image of your fitness business logo to be displayed exclusively on your Trainingym Touch kiosks.

⚠️ For the logo to display correctly, we must check ✅ Use in kiosk [checkbox].

🔖 [To avoid distortions/achieve correct display of your logo], the recommended dimensions in Trainingym Manager and on the Trainingym Touch kiosk are 208 x 198 pixels.

  • Corporate color: Provides the color tone for your Trainingym Touch kiosks.

  • Commercial Registry Information: Here you can enter the information related to the commercial registry of your fitness business.

  • Legal Text / Data Protection: Legal text related to personal data protection that must be accepted by your business clients to complete their access to the Trainingym app.

An illustrative legal text adapted to the new GDPR (General Data Protection Regulation) has been included; this default text must be particularly adapted to the needs of your fitness business [especially regarding your company's data; as an example, INTELINOVA SOFTWARE appears by default].

💡 If desired, your clients can (re)read the Legal text related to personal data protection from their app [from (Configuration) ⚙️ (button) > Legal (section) > Privacy Policy (button)].


💡 If desired, the same updated legal text can be added to the Privacy Policy section of your website.

  • Request Member Approval: After modifying your Legal Text / Data Protection, we can proceed to encourage your clients to accept [from their app 📲] the new updated version of your mentioned legal text.

▪ By clicking on Request [button], we encourage your business clients to accept/approve the new version from their app 📲.

⚠️ The action of requesting a new approval of the Legal Text/Data Protection must be taken carefully because:

◈ It will massively affect all your fitness business clients [current and new].
◈ The app must be restarted [closed and reopened] for the change to take effect and the [re]approval request to appear.
◈ The [re]approval request will also [re]request the acceptance of notifications.
◈ Until your clients approve the new terms and conditions, your business app will be disabled from use [as before their first use] with corresponding negative consequences.

  • Directed Class Start Times: Here [as a reminder] we can set the times from which the start of directed activities of your fitness business [group classes (such as spinning, Zumba, etc.) provided by your staff] can be scheduled. This section is for internal use only and is invisible to your fitness business clients.

⚠️ The time slots for activity creation are configured independently from the next Schedule tab [Trainingym Manager > My Business > Data > Schedule].

SCHEDULE

From the schedule tab, we can configure the time slot in which:

  • Your fitness business opens and closes [to be displayed on the Trainingym Easy website].
  • Directed classes [group classes (such as spinning, Zumba, etc.) provided by your staff] can be created.
  • Your fitness business staff agenda is structured.

Sections of the Schedule tab:

  • Business time slot section: Allows us to create and/or configure the daily schedule of your fitness business so that:

▪ It is presented on the Trainingym Easy website. ▪ Directed classes [group classes (such as spinning, Zumba, etc.) provided by your fitness business staff] can be created.

▪ Your staff's agenda can be structured.

⚠️ [Currently] it is only possible to configure continuous time slots [without a closing and reopening period during the same day].

Organize your fitness business time slots

To add a new time slot:

  1. Enter the opening time [in the corresponding time box]; repeat for the closing time.
  2. Select the corresponding days [buttons] you want to present the above configuration [they will turn red].
  3. Click on Create Time Slot [button].

Delete a time slot

To do this, simply click on its corresponding Trash 🗑️️ [button].

⚬ Visualization of opening and closing times from your personalized Easy fitness business website:

⚬ Visualization of time slots in the directed class management panel [group classes (like Zumba, spinning, etc.) provided by your staff] from the corresponding Manage Schedule panel [Trainingym Manager > Activities > Manage Schedule].

KIOSKS

This tab allows us to configure the access parameters and automatic behavior of your Trainingym Touch fitness business kiosks. In this line, we can establish and/or configure:

  • The description of the Trainingym Touch kiosk equipment in your fitness business.
  • The model of each of the Trainingym kiosk equipment in your business.
  • The use of Scroll Buttons.
  • The COM port [for the old version of MIFARE].
  • The query time between one reading and another of your fitness business client access devices.
  • The home page your clients will encounter on your Trainingym Touch kiosk.

Sections of the Kiosks tab:

  • Equipment Description: The name with which your Trainingym Touch kiosk will appear stored in the list of Traini2ngym Touch kiosks in your business.2
  • Model of your equipment / Trainingym Touch kiosk: Ability to choose the corresponding model of your equipment [will be configured by the support team when installing your Trainingym Touch kiosk].
  • [Use of] Scroll Buttons: If we want the touch screen of your Trainingym Touch kiosk to also present vertical scroll buttons [scroll 🔼🔽].
  • COM Port [MIFARE only]: Configure the COM port [necessary exclusively for the operation of the old version of the MIFARE equipment].
  • Maximum Query Time (Seconds): Query time after which an automatic session logout of your clients occurs.
  • Home Page: The page your clients will encounter when accessing your Trainingym Touch kiosk. In this sense, they can encounter the [Login] User screens -recommended- or Reservations.
  • Fingerprint: Allows us to log in to your Trainingym Touch kiosk using our fingerprint [if the associated fingerprint recognition device is available].

⚠️ If you do not have a Trainingym Touch kiosk, the Trainingym Touch kiosk management panel will be empty.

 

CONFIGURATION

From this tab, we can set and/or configure the following parameters:

  • Automatic Notification Configuration.
  • Routine display type to be presented in .pdf format.
  • Configuration for days without access or attendance by your clients.
  • Login options at the Trainingym Touch kiosk.
  • Other Options/Miscellaneous.
  • Visibility of the scheduled activities timetable.

Sections of the Configuration tab

  • Configuration to consider for automatic notifications

Warning days without attending the business: If the configured number of days is met, the clients of your fitness business corresponding to those days without accessing, attending, and/or interacting with your business will receive automatic "we miss you" email and push notifications.

Weigh-in warning days: Number corresponding to the interval of days we set for an automatic "weigh-in reminder" notification informing your clients that it has been a while since the last assessment and it is time to renew it to analyze progress.

⚠️ In this Weigh-in warning days section, self-weighings with the Balance scale are excluded; therefore, such self-weighings by your clients are beyond the reach of automatic notifications sent after the weigh-in days.

Days without session validation after which the routine is canceled: Number of days after which an automatic "CANCELED ROUTINE" notification is sent informing your clients [who meet this condition] that their routine is no longer available in their app and Trainingym Touch kiosk, inviting them to contact their trainer to request a new one.

  • Routine Type: general configuration for viewing exercises in the routine exported in .pdf format [to be previewed, saved, and/or printed].

▪ Routine export options:

▹ More detailed version. Shows the three phases (warm-up, main, and cool-down) and specific details of each exercise such as: machine name, duration, rest, heart rate, and load. This version uses the most paper in its printing.

▹ Simple (3 phases): shows abbreviated information for each exercise such as: series, repetitions, and rest time. It also shows the three phases of each session (warm-up, main, and cool-down) and their observations.

Simple: only shows the main phase of each session. Information for each exercise is abbreviated such as: series, repetitions, and rest time.

💡 The configuration for viewing the routine in .pdf format can be modified individually from your clients' respective profiles [Trainingym Manager > Members > Active Members > Members > Routines > Choose the corresponding routine > Options > Edit > Preview > Select the execution (export) type > Preview or Send by email].   • Days without access configuration: Allows tracking of your clients' access and interaction with your business; by selecting the types of access [next section] from where the days of access and/or interaction will be counted.

💡 To check the number of days without access, attendance, and/or interaction for each of your clients, you just need to go and enable the Days without attending column from the list of active members [Trainingym Manager > Members > Active Members].

⚠️ Up to 6 columns can be selected simultaneously. If there are already 6 columns selected, we need to disable one of them to enable the one we need.

💡 With the update of the new Active Members Menu, the color circles 🔴🟡🟢 have been removed for a lighter and more homogeneous view.

  • Access type (Days without access): The types of access and/or interaction of your fitness business clients that will be considered to be counted as having attended, accessed, and/or interacted with your business.

💡 From the Days without access section [mentioned above], we configure the sending of automatic notifications according to the number of days counted for your clients [without having attended, accessed, and/or interacted with your fitness business].

  • YouTube Live Channel URL [for Streaming activities]: Here we can add your personalized URL for activities that will be streamed.

▪ Then all scheduled streaming activities [with their respective sliding selector activated] will lead to the entered and default URL from the mentioned YouTube Live Channel URL section.

💡 Setting the default [generic] Streaming URL saves time and avoids errors and headaches!

 

▪ Also, if you want to enter and use another Streaming URL [different from the generic (default)], we can activate the corresponding sliding selector Personalized URL to enter another special URL for that particular occasion.

▹ In that particular case, instead of accessing the default [generic] URL configured [from Trainingym Manager > My Center > Data > App], your clients will be directed to the personalized URL entered for that particular activity.

💡 Although YouTube is currently one of the best-known platforms for video streaming, we can also use any other valid Internet URL for your Streaming activities [for example, a link to another web platform like Instagram or Zoom].

⚠️ [To display correctly] we must always enter Streaming URLs [Instagram Live, Zoom, YouTube, etc.] with their full address [adding the prefix https://www. or http://www.].

  • Login at Trainingym Touch Kiosk: From this panel, we can configure how your fitness business clients can interact from the Trainingym Touch kiosk; in this sense, we can:
    • Allow creating new members at Trainingym Touch kiosk. 
    • Allow editing members at Trainingym Touch kiosk.
    • Allow clients to create routines automatically at Trainingym Touch kiosk. 
    • Show exercises at Trainingym Touch kiosk.

Options of the Login section at Trainingym Touch Kiosk from the Configuration tab:

  • Allow creating new members at Trainingym Touch kiosk: allows manually creating users for your clients through the touch screen of the Trainingym Touch kiosk; creation done both by your fitness business staff and (especially) by your clients (autonomously).
  • Allow editing members at Trainingym Touch kiosk: through the kiosk, allows clients to edit profile information such as:

▹ username
▹ password
▹ name
▹ activity level
▹ contact information
▹ language
▹ date of birth
▹ height

  • Allow clients to create routines automatically at Trainingym Touch kiosk: allows clients to automatically generate a training plan autonomously through a self-assessment and preferences questionnaire.
  • Show exercises at Trainingym Touch kiosk: allows clients to access the exercise library through the kiosk.
    • [Section] Various: This section allows your staff to advance in managing your fitness business more quickly and productively. For this, the following administration options are available:
      • Show client accesses
      • Link training areas to the client
      • Edit member data
      • Notify accesses to associated clients

Options of the Various section of the Configuration tab:

  • Show member accesses [client of your fitness business]: Allows viewing in Trainingym Manager which clients of your business are in the facility during the last 2 hours (according to the configured access type - see above). For this, the Entries menu [Trainingym Manager > Loyalty > Entries] will be enabled.

⚙️ To be able to view the Entries submenu of the Loyalty panel for your staff, both options Show client accesses and Notify accesses to associated clients must be enabled.

  • Link training areas to the client: this option allows your staff to link a specific area to your clients when creating a routine from the automatic routine generator. To perform this linkage, we must access the Training areas linked to your client [present in Trainingym Manager > Members > Active Members > Select your client > Interview (tab) > Muscle Groups and Preferences (tab) > Training areas linked to the member].

  • Edit member data: Not applicable since the update of the new client menu.
  • Notify accesses to associated clients [to your staff]: Not applicable since the update of the new client menu, but still necessary to enable viewing of the Entries submenu [Trainingym Manager > Loyalty > Entries].

⚙️ To be able to view the Entries submenu of the Loyalty panel for your staff, both options Show client accesses and Notify accesses to associated clients must be enabled.

  • [Section] Schedule: This section refers to the corresponding visualization of scheduled activities from the Manage Schedule panel [Trainingym Manager > Activities > Manage Schedule]

Options of the Schedule section of the Configuration tab:

  • Schedule visible to members: Not applicable since the update of the new client menu.
  • Employees visible in the schedule: This option makes visible to your clients which staff members will be providing the corresponding directed classes.

SHARE

Not applicable since the update of the new client menu.

YOUR FITNESS BUSINESS'S SENDER EMAIL ACCOUNT

Just as we configured the email address from the Center Data tab [Trainingym Manager > My Center > Center Data] where your fitness business clients can contact you, it is also crucial to configure the corporate email address from which emails will be sent to your clients [for automatic notifications, the email marketing platform, and more].

Configuration of your fitness business's sender email account:

❖ ℹ️ Set your sender email account

To do this:

  1. First, we access the Sender Email Account menu [Trainingym Manager > My Center > Sender Email Account] and proceed to edit the following fields:
    • Description: Name to identify the corporate sender email account internally.
    • Sender Email: Address of the email account we will use as the sender email for your corporate communications.
    • Sender Name: Name of the sender that will appear in the emails sent corporately from your fitness business.
    • Email Signatures: Selector of (pre)created corporate signatures from the Email Signatures panel [also present in Trainingym Manager > My Center]. 

    2.  Click on Save [button] to save the changes.

⚙️ For the Email Signatures section to appear visible, the Enable signature checkbox must be checked.

YOUR FITNESS BUSINESS'S CORPORATE EMAIL SIGNATURE

As we mentioned in Configuration of your business's sender email account [above in this same article], from the Sender Email Account submenu [present in Trainingym Manager > My Center], we can enable the use of an email signature to be added at the end of all emails sent by your fitness business [via Trainingym Manager].

To do this, we will now create this corporate email signature from the Email Signatures submenu [Trainingym Manager > My Center > Email Signatures].

Creation and addition of your corporate email signature:

❖ ℹ️ Create a new corporate signature for your fitness business

To do this:

  1. Click on New [button] to create a new signature.

  2. From the editing screen, proceed to:

    ◈ Descriptively name your business signature.

    ◈ Edit your signature to taste [you can add text, images, and/or hyperlinks].

  3. Click on Save [button]. Once the email signature is saved, it will be available in the signature dropdown list on the sender email account configuration screen.

❖ ℹ️ Add a corporate signature for your fitness business

To do this:

  1. [With the signature to be used already created and edited to taste], go to the Sender Email Account panel [present in Trainingym Manager > My Center].
  2. Click on the triangle 🔽 to the right of the list box below Email Signatures:.
  3. Click on the name of the signature to be used.
  4. Click on Save [button] to save the changes.
